This statement outlines the information gathered during your visit to the University of Derby's website and explains how this information is treated. Where you actively provide personal data to the University (for example by completing a form to request a prospectus) this data will be used only for the service you have requested unless you consent otherwise at the time of submitting the data.
The University's website does not automatically capture or store personal data from visitors to the site, other than to log your IP address and session information. Session information includes the time and duration of your visit to the site, the files requested, and the browser used. This information will only be accessed by authorised persons of the University of Derby or its agents. The information will be retained by the University and will only be used for the purpose of (a) managing the site system, (b) the identification of broken links, and (c) for statistical and audit purposes.
You may occasionally be asked to provide personal information to gain access to specific services. By supplying such information you consent to the University storing the information for the stated purpose. The information is held by the University in accordance with the provisions of the Data Protection Act 2018.
We want you to feel comfortable giving us your information. We will only use the information you give us to fulfil your prospectus order and will only ask for the information we need.
When you order a prospectus through our website, we will collect information about you in order to fulfil your request.
- We will use the information you’ve provided about your study and course interests to understand the level of interest in that subject, in order to review and improve what we offer.
- If your postal address is in the UK, we’ll send a prospectus to the address you’ve provided.
- Our undergraduate prospectuses are printed and sent on demand by a third-party printer - Linney. We will pass your name and address details to them over a secure, encrypted channel. They will only use your data to send the prospectus. Postgraduate prospectus orders are fulfilled by us.
- We’ll also send a confirmation email to the address you provide.
- If your postal address is not in the UK, we’ll send you an email with a link to download a digital copy of the prospectus and your data will not be passed to the printer in this circumstance.
- Your prospectus request data will be kept for up to 2 years from the date you submit the request.
Open day bookings
We want you to feel comfortable giving us your information. We will only use the information you give us to manage the open day you’re booked onto. When you book on to an open day through our website, we will collect information about you in order to fulfil this service.
We will use the information you’ve provided about your study and course preferences for:
- Our internal reporting about the open day, in order to review and improve what we offer.
- Posting out an open day guide prior to the event.
- Sending you emails in the run-up to the event to make sure you know where to come and what’s happening on the day.
- If you give us your phone number, we may contact you by phone prior to the event.
- Sending you an email after the event with a link to a survey – we would really appreciate your feedback on how we can improve our open days.
Your open day booking data will be kept for up to 2 years from the date of the open event you book onto.
You can withdraw from marketing communications at any time. All of our marketing emails will have an unsubscribe link in the footer. Alternatively, you can use this page to opt out of email and/or postal communications. If you opt-out of these marketing communications you will still receive key University communications about your application.

We will never sell your data. We will never pass your data on to a third party, unless otherwise specified, and we promise to keep it safe and secure.
