A guide to completing Online Enrolment video transcript

Welcome to our new and returning students!

Before you access your online enrolment, you will be sent an invitation to enrol by email. You will be asked to set up your account in case you're a new student or for returning students to start your enrolment.

You can also start your online enrolment if you go to students.derby.ac.uk and log in with your student ID and password. As soon as you've logged in with your details click search and you will be sent to the first page of the portal. You will need to click on the enrolment file to start your enrolment.

Welcome to Online enrolment

Take some time to read the information on the first page as this is informing you of how the enrolment process will be and what to expect. When you are ready click 'next' to go to the first page of the enrolment.

Declaration

Please take some time to read this declaration carefully before you continue, you will need to click on the terms and conditions and read them. Please make sure that your browser allows other tabs to open as you will have to click on 'here' to open the terms and conditions, and when you're finished reading them then you will need to return to the main enrolment page, tick the box and click enrol. Before you continue, please take your time to verify all your personal information.

Verification

It is important that your legal name is the same as the one on your passport or ID. If the name is different, please follow the instructions and contact us immediately. Make sure that your programme information is also correct. And when you're ready, click next.

Address Information

This screen is for your address information, please make sure that your address reflects your current home and term address. If your term address is the same as the home address, please select this option. If your term address is different, then please add your address here. If the term address is unknown, then click on the option here (clicks on the unknown term-time address option), but please make sure to further return to your student profile and update this information as soon as you have67ythe term address.

For international full-time students, we expect them to have UK term addresses. If you do not have an address yet or if you have not moved to the UK, then please select the 'unknown' option until you manage to find UK accommodation. If you have informed us of having a term address, then please click on the magnifying glass and select the type of your accommodation.

Before you continue to make sure that your legal nationality is correct, if you have dual nationality, then please click on 'add' to include all your nationalities. And click on the magnifying glass to select your country. When you are ready and have successfully completed all the steps on the screen, then click next to continue.  

Phone Numbers

Here you will need to add your phone number, if you have multiple numbers please include them all. If you're an international student, we would expect you to include your UK number or an overseas number that you can be reached on while you are in the UK. When you have completed this screen and added your number correctly, please click next to continue.

Email

Here you will need to add your email address if you have multiple email addresses please include them all. When you have completed this screen, please click next to continue.

Emergency Contacts 

On the screen, you will need to add an emergency contact if you have multiple emergency contacts or prefer to have a couple of them instead of one, then include them all. You have the option to add an emergency contact. When you have completed the screen, click next to continue. 

Personal Circumstances

Please take some time to read and select the most appropriate answer for your personal circumstance. 

As you can notice, in the third section of the screen, you have the question mark next to a question. You will see this again on other screens and you can click on it for more information regarding what we ask for in a specific question or section. When you have completed this screen, please click next to continue.

Passport/Visa Documentation

This screen will only show for international fee-paying students or students that could have applied for the EU settlement status. Please, read the information on the top very carefully and click on the first question mark for more information about what we ask you to do. As you can see here, there are two sections for overseas fee-paying students and students under the EU settlement scheme.

After you have read the information from the section that applies to you, please click on the hyperlink to open the form and submit your documents. Here and here (uses the mouse to point at the submit buttons). We have separate videos for each type of document detailing how to complete and submit the forms. It is very important that you submit the form that applies to you.

Therefore, if you are a new overseas student then click here (points at the hyperlinked text in which new overseas students can complete the form and submit documents), if you are a returning overseas student, then click here (points at the hyperlinked text in which returning overseas students can complete the form and submit documents). And if you are a student under the EU settlement scheme, then please click here (points at the hyperlinked text in which students under the EU Settlement Scheme can complete the form and submit documents). 

If you have submitted all the documents we ask for in one form, then please do not attempt to submit another one containing the same documents. You should only resubmit this form if you want to provide us with a replacement or additional documents that you haven't sent to us in the prior forms. Click X or return to close the information window.

In the passport section, we want you to type in your passport details, we will only need a valid passport. If you wish to read the extra information for this section. Please click on the second question mark here and click OK, when you want to close the information window.

In the visa permit data section, we want you to type in your visa or EUSS details. Please click on the question mark to read the additional information for this section before you start adding your documents. When you have your documents on hand and are ready to provide the details, then please click OK on this information box.

If you have a BRP then please start by typing your BRP number. You can find this in the top right corner of the card. Please click on the magnifying glass to select the type of your visa. Please continue by selecting the issue date and expiry date of your BRP. Please click add and repeat the same steps for your vignette as well.

As you can see, it doesn't let you add another row until you have completed the first one. If you have settled or pre-settled status under the EU settlement scheme, then please go on the government website, log into your account to see your EUSS status, and follow the steps to obtain or share code. If you have completed the form mentioned previously and followed all the relevant steps to obtain a share code, then please just type in the same share code in this first box.

Click on the magnifying glass to select your EUSS type of document and continue by selecting your expiry date if you have a pre-settled status, or do not select any dates if you have settled status. When you have fully completed this screen please click next to go to the next step of enrolment. 

This screen will only show for students with a visa. You will be required to click on the hyperlink 'here' to open another tab with the visa conditions. After you've read them please return to your enrolment. Tick the box and click 'accept' continue. 

Equal Opportunities Information

Please read and complete this screen according to your personal circumstances. You will need to click on the magnifying glass to select the most appropriate answer. When you're ready, click next to continue.

Maths and English Qualifications

This screen is dedicated to your Maths and English qualifications. Please read the information below and select the answer that is most appropriate for you. When you're ready, click next to continue.

Other Information

The next two screens are dedicated to other information.

If you are funded by Student Finance England, then please make sure you type in your student support number before going to the next step. If this doesn't apply to you, then go to the next question and click on the magnifying glass to select your answer. For the last question, you will need to click 'here' (clicks on the field for indicating sexual preference) for the dropdown and select your answer. When you have completed the screen, please click next to continue.

This is the final screen before going to the module selection part. Take some time to read the question and click on the magnifying glass to select your answer. When you are ready and this screen is complete, then click next to continue.

Enrolment Summary

This is your final screen, it will look fairly different depending on your student status and entry-level. The example that I have here is for a new undergraduate student starting in year one. As all modules are mandatory for the year one student they do not have any optional modules. And all the modules that you can see on the screen are core modules. Therefore, they have been preselected and added to the student profile.

However, if you're a returning student or a Masters's student, then you may be asked to select from a list of optional modules. You may have noticed that some modules have been preselected and cannot be amended. Those are core modules and are mandatory for your course. Should you have any modules to select and are not sure which one to choose. Then click on 'logout' after you've read the information here and contact your programme leader to discuss your options.

Please make sure you read the following information regarding your fees and make payment accordingly. If you're an international student, not sponsored, then please make sure that you paid or will pay the three thousand pounds deposit without receiving this we cannot confirm your enrolment. If you're a sponsored student, then please make sure that you have sent your sponsorship letter to sponsors@derby.ac.uk.

When you have read and completed this final part of the enrolment then click 'log-out to close your enrolment. Please note that completing the online enrolment doesn't mean that you are officially registered as a student. We will need to check your enrolment, check your documents and fees before officially registering you as a student.

You will receive an email to confirm as soon as we've completed the final steps.
