External Examiner Annual Report in QMEP Guidance

• External Examiner accesses QMEP
  • Clicking on the UoD Logo takes you back to the home screen from anywhere within the app.
  • Guidance links are provided for UoD Staff, Academic Partners and External Examiners from a drop-down list.
  • Font size can be changed.
  • The daisy wheel icon allows for the colour theme to be changed.
• Select ‘Create EE Annual Report Form’

• Select the relevant Academic Year, Submission Point (based on timing of the main Assessment Board) and External Examiner Type.
• Search for and select the relevant Programme(s) or Module(s) that you are the External Examiner for.  Multiple options can be selected if you have more than one Programme/Module as part of your appointed duties.  If you are a Programme EE, you do not need to select modules as well.
• Select the relevant Delivery Type(s).  Multiple options can be selected.
• The relevant Programme/Module Leader(s) will have pre-populated into the Responder field(s).  If these are not correct, they can be removed and replaced with the correct individual(s) who will be providing a formal response to the report.  (These will also be checked, and changed if necessary, as part of the CQA Internal Quality Check)
• The Head of School will have pre-populated into the Head of School field, or can be manually added.  (If you are unsure of any of these details, please contact ExternalExaminers@derby.ac.uk)
• Once all of the required fields (indicated with a *) have been populated, the ‘Create New Form’ button will become live and can be selected.

• Check the pre-populated information in the form carefully.  You are able to change those fields that have a drop-down option.
• Enter responses to all questions in the form, following any guidance/instructions provided.  Questions indicated with a * are mandatory and a response is required.
• When all required fields have been completed, click on ‘Submit’.  (This will progress the form to UoD Centre for Quality Assurance for an initial quality check.  You will receive an automated email notification acknowledging submission of your report.)
• CQA Admin can SUBMIT to progress to the next stage in the process flow, which will be to action the formal response to your report, or REFER back to the External Examiner for changes/clarification.  (If it has been necessary to refer the form back to the External Examiner, details as to why this is the case will be provided to using the comments function.  Once any changes have been made, the External Examiner should re-SUBMIT the form)

• Once the response(s) to the EE Annual Report has/have been completed, the External Examiner will receive an automated email notification.  The EE is able to view the response(s) via the link within the automated email notification.
• The EE is also able to access the form in PDF format and so retain a copy for future reference.
