Data collection

The University of Derby is one of 10 higher education institutions in the Midlands to collaborate with the East Midlands Widening Participation Research and Evaluation Partnership (EMWPREP, pronounced 'em-rep'). All of the University of Derby's outreach activity is recorded in the EMWPREP database, which allows us to record events and participant information and monitor the impact of outreach activities. The University is required to report to the Office for Students about the impact of outreach activities in order to secure funding for this important work and data collection with EMWPREP allows us to do this. Therefore our lawful basis for processing data is legitimate interest.

Some of our events (e.g. the Summer School) require medical consent forms to be completed by parents/carers. The majority of our activities are subject to the two following methods of data collection:

Before on-campus events we will send you online links of EMWPREP data collection forms to distribute to your students for parents/carers to complete. Once completed this will be automatically sent to us for inputting.

EMWPREP registers

For workshops taking place in school or online, we aim to collect names, dates of birth and postcodes on a register. This will only take place in workshops with Year 9 students and above. We may ask for your help in providing this data with younger years. We are grateful of all your support with this vital aspect of our work.

We work closely with EMWPREP and the University's Data Protection Officers to ensure there are stringent procedures for collecting, handling and storing data. The University of Derby holds and processes information supplied in line with the Data Protection Act 1998, GDPR and subsequent legislation.
