Internal mail run

There is an internal mail run that operates daily between all of the University's Derby based teaching and residential sites. The mail run services Buxton sites Monday to Friday and Chesterfield on Tuesdays and Fridays.

If you need to send a parcel or a large item between University sites please contact the Transport Office to make the necessary arrangements.

If items are too large for one person to easily handle, or if there is a significant quantity of items, you will have to make a specific transport booking.

Booking a van and driver

Staff can book a van and driver service to move goods for University purposes. Please fill out the form below.

If you are booking a van to drive yourself, you will need to have registered as a University Driver and undertaken training specific to that vehicle. You are also required to complete the daily safety check (Word, 73kb) for that vehicle upon collection.

The following types of van are available for work:

  • Small (Combo) van
  • Transit van
  • Box van (with tail lift)
  • 7.5T lorry (with driver only)

We have an Operators Licence for the use of the largest vehicles

A weeks notice is required to guarantee a booking.

Where there is a large load (eg for an exhibition), it is essential that driver receives help with loading and unloading. This will need documenting on the booking form.

Cost of van (and driver) service

The following charges apply to use the van:

  • Small vans are charged at the prevailing hire rate + fuel used
  • Transit vans £32 a day (includes 50 miles), then 32p a mile
  • Box van, £50 a day (includes 50 miles), then 32p a mile
  • 7.5t at prevailing hire rate. These are only available with a professional driver.

Driver costs are typically charged at £10 per hour, although where full time staff are used, this rate will be charged at either time and a half or double time outside of core hours.

Terms and Conditions

Conditions
1.      Drivers must have completed a driver registration form, have a valid driving license, and undertake a one off training session before using University or third party vehicles on University business. Specific training is required for use of the Luton van.

2. Vehicles must be driven in a safe and lawful manner at all times. It is the drivers responsibility to pay any parking fines or penalties resulting from road traffic offences during their custody of the vehicle. 

3. Smoking is strictly forbidden and is illegal in any University vehicle.

4. Damage must be reported to transport, ASAP. Repairs for damage sustained in the loan period, up to the insurance excess could be recharged to the booking cost centre.

5. Vehicles must be treated with respect and returned in a reasonable state of cleanliness. Excessive soiling will be subject to a valeting charge.

6. University vehicles may be fitted with a tracking device which monitors speed and location for the purposes of risk management and monitoring compliance with regulations.

7. University vehicles are strictly for business use only

8. If a vehicle is booked and not used, standard charges will be made unless it is cancelled with at least 24 hours notice.

Van and Driver Charges

1. Luton van - The cost centre / detail code supplied will be charged at a rate of £50 a day for up to a 50 mile round trip (inclusive of fuel).

2. SWB/MWB Van - the cost centre / detail code supplied will be charged at a rate of £32 a day for up to a 50 mile round trip (inclusive of fuel).

3. Mileage over 50 miles in a day is charged at 32p a mile

4. Casual Drivers are charged at £10 per hour

5. Staff overtime is charged at £15 an hour (£20 on Sundays)
