A University minibus

Booking vehicles for seven or more passengers

We offer a variety of options for transporting large numbers of people. This may be useful for the following purposes:

Fieldtrips
Enhancing the learning experience
Promotional and marketing events
Conferences
Staff training events

Minibus (and driver) service

As a member of staff, you can book a minibus and a driver using the form below. The minibuses have 14 to 16 passenger seats and one is fully wheelchair accessible.

We offer our own professional driver service. Booking a driver is highly recommended as it means that tutors can talk to their students without affecting their concentration on driving.

For trips where over 16 passengers are expected, you can either book a coach, or if numbers are below 32, you could book two minibuses.

Due to permits, there are a finite number of minibuses available. All bookings are subject to availability. We ask that bookings are made at least a week in advance to avoid disappointment or to enable time for alternative arrangements to be made.

Cost of minibus (and driver) service

Minibuses are currently charged at:

£50 a day (includes 50 miles); then 32p a mile

Driver costs are typically charged at £10 per hour, although where full time staff are used, this rate will either be charged at time and a half or double time outside of core hours

Self driving of minibuses

To drive a minibus on University business, you must have undertaken and passed the appropriate medical and training and test.

Use the same booking form, stating clearly who intends to drive the minibus. Please do not attempt to book a vehicle for self drive if you haven't passed the relevant minibus test.

You will need to undertake a vehicle safety check (Word, 73kb) prior to driving a minibus.

Coach and driver service

If you are taking a large number of people on a trip, we have a contract for the provision of high quality coaches.

Coach prices will vary according the the job in question.

Terms and Conditions

Conditions

Drivers must have completed a driver registration form, have a valid driving license, and undertake a one off training session before using University or third party vehicles on University business. Specific training and certification is required for use of a minibus.
Vehicles must be driven in a safe and lawful manner at all times. It is the drivers responsibility to pay any parking fines or penalties resulting from road traffic offences during their custody of the vehicle.
Smoking is strictly forbidden and is illegal in any University vehicle.
Damage must be reported to transport, ASAP. Repairs for damage sustained in the loan period, up to the insurance excess could be recharged to the booking cost centre.
Vehicles must be treated with respect and returned in a reasonable state of cleanliness. Excessive soiling will be subject to a valeting charge.
University vehicles may be fitted with a tracking device which monitors speed and location for the purposes of risk management and monitoring compliance with regulations.
University vehicles are strictly for business use only
If a vehicle is booked and not used, standard charges will be made unless it is cancelled with at least 24 hours notice.

Minibus and Driver Charges

Minibus - The cost centre / detail code supplied will be charged at a rate of £50 a day for up to a 50 mile round trip (inclusive of fuel).
Mileage over 50 miles in a day is charged at 32p a mile
Casual Drivers are charged at £10 per hour
Staff overtime is charged at £15 an hour (£20 on Sundays)

Coach and Driver Charges

Coach - The cost centre / detail code supplied will be charged at a rate of £130 a day plus £9 per hour and £1 per mile.

I agree that the information provided is correct to the best of my knowledge. If I am booking to self drive, I agree that I have successfully compleated the bus driver training and registration.
