Electronic
Submission, Marking and Feedback – Update Six
Congratulations
and Thanks
The
Project Board met in early January and Liz Barnes
the Chair asked that a message of thanks and congratulations be sent out to
all colleagues. The engagement and willingness to adapt and change has been
fantastic and the overall feedback from staff and students has been very
positive. Over 20,000 submissions were successfully received, with 660
submitted between the University closing on 23rd December and reopening on
3rd January, a clear indication that we are meeting the expectations of our
students for submission anytime, anywhere. Of the 20,000, 90% were marked
electronically. The board noted that there had been some technical
difficulties that are now being dealt with as a matter of urgency by the
project team. The reported problems were relatively small considering the
amount of submissions that took place and on the whole they will be
addressed by greater system experience and support to develop new skills
and knowledge.
Level
Five Students
From
September 2012, e-Submission will be rolled out to levels 5, 6 and 7. To
help prepare for this, it is suggested that all staff that are teaching on
a level five module this semester, should expose their students to the
e-Submission system to prepare them for their final year. This could be a
formative piece of work that does not necessarily need marking but will
familiarise students with the interface and originality reporting function.
How
will External Examiners be supported?
An
email has been sent to all External Examiners on 13 January 2012 advising
them of the move to e-submission. Initial guidance material
accompanied this e-mail which can be seen on the project website on
the moderation guidance
page.
All
new External Examiners who attended the centrally organised induction day
on 16th January 2012 were provided with an overview of the
system, and the Learning Technology Advisers were available in the Atrium
during lunch to deal with individual queries.
Phyllis Geaney in LEI is
currently liaising with ITS to provide all External Examiners who moderate
level 4 work (i.e. HNC/D and Foundation Degree programmes) to receive
password details. Phyllis will liaise with ITS to provide all other External
Examiners with password details towards the end of this academic year,
following the transition to the 20 credit module structure.
It
is recommended that academic colleagues should email their External
Examiners to advise them when work is ready for external moderation and to
identify the relevant sample. The internal moderation report and module
report should be attached to the email.
New
large 22” Monitor
To
enable the transition to on screen marking, all academic staff can request
a large 22” monitor to make it easier to manage their marking. To request a
monitor simply log a job by calling x1234 or email ITServiceDesk@derby.ac.uk.
Downtime
The
system did experience a global crash on 19 December, which was beyond the
control of the University and affected the entire Turnitin community
worldwide. As a result of the downtime, an automatic 24-hour extension was
given to all students affected across approx. 40 modules. This tested our
system down time processes that have now been refined further. For more
information about what to do and where to find out about downtime there is
an easy to use leaflet, please put a
link to this in your new module handbooks.
Managing
EECs and AEDs
Advice
on how to manage EECs and AEDs with e-Submission has now been issued; more
information is available on the guidance page about Managing Extensions.
How
to make GradeMark work for you.
After
the experience of semester one’s submission we have had reports of time
economies for staff that invested time preparing Rubrics and personalised
QuickMarks in Turnitin. We expect that as teams and individuals develop
their own libraries of Quickmarks and Rubrics, such time economies will
increase. Before the next round of marking would be the time to review
usage, reflect and plan for the semester two submissions. To arrange
individual or team training please contact the Learning Technology Advisers
on learningtechs@derby.ac.uk.
If
you have any other questions relating to e-Submission, online marking and
feedback please contact the Learning Technology Advisers.
All previous communications
are available on the project website should you wish to re-read any of the
information.
Thank
you for your continued support.
