Electronic Submission, Marking and Feedback – Update Nine

Colleagues,

We recognise that many of you are already using the e-Submission system and have been for some time, the purpose of this update is to inform you of a planned increase in communications and support as we approach the seasonal spike in assessment activity beginning towards the end of November. Please ensure that you read all information and where appropriate disseminate to colleagues and team members.

The project team will be contacting you through various methods over the next two to three weeks in order to make sure that you and your students are prepared for their submissions in semester one. All information is available on the project website at www.derby.ac.uk/esubmission

What if the System Crashes?
There is process for reporting any systems issues to IT Services; we have produced an easy to use leaflet, which clearly explains what to do, and there is a 24 hour recorded phone line (01332 593782 or X 3782) that will give the status of the system. Please email this link to your students as part of your normal module communications activity. However if we do suffer from a substantial system crash, an automatic extension will be given to all students affected, this will be done by the project team.

Twitter Feed
The Turnitin Twitter Feed is useful for keeping up to date about system availability and has proved to be the fastest way to determine if there are any issues. If you wish to follow the feed the address is @TurnitinStatus, please share this with your students.

Staff Development
Staff development is mandatory for those who did not undertake it last year, dates are now published for the standard training sessions on the project website. The TEL team will be happy to also deliver subject- or team-based training where the use of rubrics and shared comment sets can be most advantageous. Please contact them on learningtechs@derby.ac.uk

Plagiarism Advice
The use of originality reporting offers an additional method to check for plagiarism. It should be noted that this is just another method used to supplement your subject knowledge and expertise to promote improvements to the standard of academic writing. In order to ensure parity, all students are able to submit as many times as they wish and no threshold percentage levels should be set by academic teams for students to meet or score below on their originality report. We have developed an upgraded version of PLATO to incorporate the e-submission process, which will help students improve their understanding of plagiarism issues. Please note that you can choose not to have the work checked for plagiarism and not to receive an originality report. This may be appropriate for reflective or personal experiences. Additional information can be found on the project website.

Submission Points
Please ensure that when setting up a submission point they close at the latest by 21.00hrs on a Thursday and that they never close on a Friday, Saturday or Sunday. This is to allow support to be given if students experience any issues with e-submission and to avoid having anxious students facing an entire weekend with a submission issue.

Managing Multiple Markers
Some submissions will need to be marked by more than one person due to the size of the cohort. If these markers need to view a specific group of students there is a variety of advice and guidance on the project website. For additional help with this please contact the TEL team on learningtechs@derby.ac.uk.

Poster Submissions
Turnitin has refined the system and it will now accept PDF submissions of posters. For more detailed information please contact the TEL team on learningtechs@derby.ac.uk

If you have any other questions relating to the points covered here please contact the Faculty Learning Technology Advisers. All previous communications are available on the project website should you wish to re-read any of the information.

Thank you for your continued support.
The E-submission Project Team
